To Create a Transmittal

Transmittals are permanent records of document distribution. Controlled copy distribution usually requires a transmittal receipt to be printed for the recipient(s) signature and returned to the issuer as proof of receipt.

  1. Verify that both the distribution order and the distribution item statuses are valid for the transmittal process.

    The status of the distribution order must be Approved and the status of each distribution item must be Allocated Pending.

  2. From the Distribution Order content pane, click Create Transmittal icon.

    The Auto Create Transmittals dialog opens asking if you are sure you want to auto create/fill all the distribution items associated to this order.

  3. Click Yes.

    The Success dialog opens stating that the transmittal was created.

  4. Click OK to close the Success dialog.
  5. Click the Transmittal Properties icon.

    The Transmittals pane is divided into three panes:

    • Transmittals
    • Assigned Distribution Items
    • Unassigned Distribution Items
  6. To add distribution items to a transmittal, do the following in the Unassigned Distribution Items pane:
    1. Turn on Create/Fill.
    2. Select one or more distribution items and click the Assign Distribution Items icon.

    The selected distribution items are moved to the Assigned Distribution Items pane and creates transmittals which are listed in the Transmittals pane.

    Note: The transmittal number is the distribution order number followed by /TR###. One transmittal per person is created.
  7. To review the details of each transmittal highlight each one in turn and the Assigned Distribution Items pane will list the details for each one.
    Note: You can preview the transmittal receipts by clicking on the Action Bar Print icon and selecting Preview.
